Privacy Policy
A Legal Disclaimer
This Privacy Policy explains how AITRONICE Vietnam Co., Ltd. (“AITRONICE,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information in connection with our websites, portals, sales and purchasing activities, recruitment, and visits to our facilities. We are a business-to-business manufacturer and we handle customer and supplier information to deliver quotes, manufacture products, provide after-sales support, and manage our operations. By interacting with us, you acknowledge that you have read this Policy and understood how we handle your information. If you do not agree, please do not submit personal information and contact us so we can offer an alternative process.
Our Policy
We collect the information you voluntarily provide—such as your name, role, company, email, phone, postal address, country, industry, product requirements, drawings and technical files you upload for quotation or quality purposes, purchase records, invoices and payment references, service tickets, warranty communications, and marketing preferences. When you browse our sites, we collect device and usage information including IP address, browser type, device identifiers, pages viewed, time on page, referring URL, and general location derived from your IP. If you contact our sales or support channels, we keep a record of the interaction and, where lawful, may retain call recordings for training and dispute resolution. If you visit our offices or factories, we keep necessary visitor logs, sign-in records, CCTV footage for security and safety, and information required to comply with site access and export-control rules. For recruitment, we process CVs, qualifications, work history, interview notes, reference checks you authorise, and outcomes of pre-employment screening where allowed by law.
We use this information to provide and improve our products and services, assess and respond to requests for quotation, perform engineering reviews, fulfil purchase orders, arrange shipping and customs clearance, provide customer support, manage warranties and returns, operate and secure our websites and facilities, maintain accurate business records, carry out analytics to understand product interest and site performance, conduct lawful marketing with your permission where required, manage our supplier relationships, and meet legal, tax, audit, and compliance obligations. We only process personal information where we have a lawful basis—such as your consent where required, to perform a contract or take steps at your request before entering a contract, to comply with legal obligations, or to pursue our legitimate interests in efficiently running and securing our business in a way that does not override your privacy rights.
We disclose personal information to our controlled affiliates and to service providers who help us operate—such as hosting and cloud infrastructure, email and collaboration tools, customer relationship systems, logistics and customs brokers, banks and payment processors, professional advisers, auditors, and recruitment platforms. These parties are required to protect your information and to use it only for the services they provide to us. If you direct us to work with a third-party partner or integrator, or if you publish your contact details in a trade directory, we may share relevant information at your request. If we evaluate a corporate transaction such as a merger, acquisition, or asset transfer, your information may be shared under confidentiality for due diligence and will remain protected. We may also disclose information when required by law, court order, or to protect the safety, rights, or property of our company, our customers, or others.
Because we operate internationally, your information may be transferred to and processed in countries other than your own. Where we transfer information across borders, we take steps designed to ensure an adequate level of protection, such as using standard contractual clauses or similar safeguards permitted by applicable law, and we limit access to personnel with a need to know. Drawings and technical files may be subject to export-control or confidentiality restrictions; we handle such material according to contractual obligations and applicable regulations.
We retain personal information only for as long as needed for the purposes described in this Policy and as required by law. Commercial records related to quotations, orders, quality, and finance are typically kept for the length of the business relationship plus a reasonable period for warranty, tax, and dispute-resolution needs. Recruitment records are kept for the hiring process and, if unsuccessful, for a limited period to consider you for future roles unless you ask us not to retain them. CCTV and visitor logs are kept for short, security-based periods unless an incident requires a longer retention. When data is no longer required, we take reasonable steps to de-identify or securely destroy it.
We take security seriously and apply technical and organisational measures designed to protect personal information against loss, misuse, unauthorised access, disclosure, alteration, and destruction. These measures include access controls based on job role, encryption in transit and at rest where appropriate, segmented networks for sensitive production systems, audit logging, staff training, vendor due diligence, and incident response procedures. No method of transmission or storage is completely secure; however, we work to maintain a level of security appropriate to the risk and we investigate and, where legally required, notify relevant parties of significant incidents.
Our websites use cookies and similar technologies to function, to remember your preferences, and to measure site performance. Where required by law, we will ask for your consent for non-essential cookies. You can manage cookies through your browser settings, though blocking certain cookies may affect site features. We may use analytics tools to understand aggregated usage and improve content. We do not sell personal information for money, and we do not use sensitive personal information for purposes that require separate consent unless we have obtained it.
You have rights over your personal information, which may include the right to access, correct, update, restrict, object to certain processing, withdraw consent where processing is based on consent, and request deletion, subject to applicable law and our legitimate business and legal needs. If you make a request, we may need to verify your identity and confirm your relationship with us before acting. We will respond within applicable timeframes and explain any lawful grounds for declining all or part of a request. If you believe we have not handled your information properly, you can contact us directly so we can address your concerns, and you may also have the right to lodge a complaint with a supervisory authority in your country. If you are in Australia, you may contact the Office of the Australian Information Commissioner. If you are in the European Economic Area or the United Kingdom and interact with us, you may contact your local data protection authority.
Our services are intended for business users and not for children. We do not knowingly collect personal information from individuals under the minimum age required by law in their jurisdiction. If you believe a child has provided us personal information, please contact us and we will take appropriate action. We also encourage you not to send us more personal information than is necessary for a commercial engagement; if we receive sensitive personal information that we did not request, we will handle it securely and aim to delete or minimise it where lawful to do so.
From time to time, we may update this Policy to reflect changes in our practices, technologies, or legal requirements. When we make material changes, we will post the updated version on our website and adjust the effective date. Your continued interaction with us after an update means you acknowledge the revised Policy. We also maintain contractual confidentiality terms with customers and suppliers; if there is a conflict between this Policy and a signed agreement regarding confidential information, the signed agreement will govern to the extent of the conflict.
If you have questions about this Policy or wish to exercise your rights, you can contact us anytime. If your query concerns a specific project, please include the project name or purchase order so we can locate records quickly.
Nothing in this Policy limits your rights under applicable law. This Policy is not a contract and does not create legal rights beyond those provided by law; rather, it explains our approach to privacy so you can make informed choices. If you require a signed data-processing or confidentiality agreement, please reach out to our legal or sales team and we will provide an appropriate form for your review.
